How to set up a free email account
Follow these five easy steps to set up a free email account.
Once you have an email account, you can register to get your payslips electronically.
1. Go to one of the free email provider web pages
The most popular ones are:
- Google: www.google.com
- Hotmail: www.hotmail.com
- Yahoo: www.yahoo.com
Go to the ‘sign up’ page and click on ‘Create an account’.
2. Choose a username
It is best if it is fairly short and easy to remember. Be aware that it will be seen by other people. The provider will check that no-one else already has this name: if it is not available, you will need to choose something else. Make sure you note it!
3. Create a password
Aim for a mixture of uppercase and lowercase letters, plus numbers and symbols. It should be easy to remember but hard to guess – don’t use your date of birth, ‘12345’, ‘Password’ or even ‘Pa55w0rd’.
Use a different password for each of your important accounts, so if by chance someone gets access to one of them, they can’t get into all of them.
4. Security questions
Some providers ask for your date of birth: think carefully about whether you want to give your real date of birth.
You may be asked for another email address, or your mobile phone number, or a security question. These will help you to access your account if you forget your password.
You may have to answer a question to prove you are a real person.
5. Terms and conditions
Read through any terms and conditions so you understand what you are agreeing to. They usually cover:
- You won’t use the email for anything illegal.
- They will not be responsible if the system goes down and you lose all your emails.
- They don’t promise to keep the free accounts forever.
- They make their money by showing you advertising.
You will have to check a box or click to agree to the terms and conditions.
There is a good online video on how to set up a Hotmail account on www.learnmyway.com.
If you have questions, please call the HR team on 01895 671 800.
After your account has been set up, go to the sign in part of the email page to log into your account. Make sure you can get into your email before you give out the address! You might want to exchange emails with a friend to check everything works as you expect it to.
E-payslips
Once you have an email account, you can fill in the email payslip registration form. You can download the form in Word or pdf from the Resources web page – if you have difficulties, ask your contract supervisor for help or call the payroll team on 08456 201201. Print the form out, sign it, and give it to your supervisor, or email a scan to payroll at payroll@vgcgroup.co.uk
